Connecting Your PracticeHub Integration

Learn how to connect ClinDoc to your practice management software like PracticeHub for automatic patient and appointment syncing, or choose manual mode if you prefer to get started without an integration.

ClinDoc can connect directly to your practice management software to automatically sync patients, appointments, and clinical documents. This eliminates double-entry and keeps your records in sync across both systems.

If you don't use a supported integration or want to explore ClinDoc first, you can also choose manual mode and add patients yourself.

How to connect PracticeHub

Step 1: Generate your PracticeHub API key

  1. Log in to your PracticeHub account.
  2. Navigate to Developers → API Keys.
  3. Click Generate New Key.
  4. Copy the API key — you'll need it in the next step.

Your API key is a sensitive credential. ClinDoc encrypts and stores it securely in a vault. Never share your API key in emails or chat messages.

Step 2: Connect in ClinDoc

  1. In ClinDoc, go to Settings → Integrations.
  2. Click the PracticeHub card.
  3. Paste your API key into the API Key field.
  4. Insert your account base URL for example: https://clindoc.neptune.practicehub.io/
  5. and click Connect.
  6. An additional step will appear to select your user among the available ones to complete. (PracticeHub only has global API keys so one key can access any user)
  7. ClinDoc will validate your key and begin the initial sync. This usually completes within a few minutes depending on the size of your practice.

Step 3: Verify the connection

Once connected, your integration card will show a health status. You can also:

  • Click Test to verify the connection is healthy
  • Click Sync Now to manually trigger a patient and appointment sync at any time

What gets synced

Once connected, ClinDoc will automatically sync at regular intervals. Here's what flows between the systems:

  • PracticeHub → ClinDoc: Patients, appointments, and practitioner profiles
  • ClinDoc → PracticeHub: Finalized clinical documents (treatment notes) are delivered back after you approve them

Syncing happens automatically on a regular schedule. If you need data immediately, use the Sync Now button on your integration card in Settings → Integrations.

Troubleshooting

"Connection failed" when entering your API key

  • Double-check that you copied the full API key without extra spaces.
  • Make sure the key hasn't been revoked in PracticeHub.
  • Try generating a fresh key in PracticeHub and entering it again.

Disconnecting an integration

If you need to remove an integration, open the integration card in Settings → Integrations and click Disconnect. All previously synced data (patients, appointments) will remain in ClinDoc, but no new data will be synced.
